A defined scope. A checkable result.
Workflow automation
Choose a repeatable process with a clear starting point and a checkable result. Keep people in the steps that still need judgement or approval.
Discuss your projectWhen this can help
- The same information is copied between tools on a recurring basis.
- A rule-based notification, task or document step is repeatedly handled by hand.
- The process has identifiable exceptions and someone who can handle them.
What the scope can include
A process map
The trigger, input, actions, exceptions and human approval points for the agreed workflow.
Tool connections
The agreed connections using supported APIs or other available interfaces, with defined account permissions.
Failure handling
Agreed retry and duplicate-handling behaviour, a way to identify failed work and operating instructions.
Agree what success looks like
- Run a representative normal input and check the result in each connected tool.
- Repeat the same input and check for unintended duplicate actions.
- Test missing data, unavailable tools and the agreed failure route.
- Confirm approvals happen before the actions that require them.
- Check who can pause, review and restart the workflow.
What to prepare
- A description of the current steps, frequency and owners.
- Representative inputs, including known exceptions, without unnecessary personal data.
- The tools involved, account access and actions that must require approval.
Scope and costs
The defined workflow is quoted in USD. Connected tools, exception handling, request volume and maintenance responsibilities affect scope. Automation-platform subscriptions and API usage costs are identified separately.
Questions before you start
Can every step be automated?
No. Ambiguous decisions, unavailable interfaces and actions needing approval can limit automation. The proposal should make the manual handoff explicit.
What happens if a connected tool stops responding?
We agree the failure and recovery behaviour for the workflow. A retry must not silently create duplicates or make an unfinished action look successful.
Use cases and practical reading
Extract receipt and invoice data with checks before posting
Build a reviewable extraction flow that preserves the source and checks amounts, document identity and duplicate submissions.
Design an AI review dashboard that lets people verify and act
Build a review inbox with source comparisons, clear ownership, meaningful statuses and recoverable actions instead of a decorative approval checkbox.
